At KOHNAN SHOJI CO., LTD., we believe it is important to handle and protect customers’ information as our crucial responsibility in the course of carrying out our business activities, and has therefore established the following policy based on the “Act on the Protection of Personal Information” (hereinafter referred to as the “Act”) and other related laws and regulations to ensure that personal information is thoroughly protected.

1. Compliance with laws and regulations

The Company handle personal information in compliance with the Act and other related laws and regulations.

2. Acquisition of personal information

The Company will not acquire personal information by unlawful means.

3. Purpose of collecting and using personal information

The Company collects and uses personal information so that customers may use its various services smoothly and efficiently. Personal information collected by the Company with customers’ consent will be used for the following purposes and will not be used for any other purposes:

(1) Providing sales of products handled by the Company
Product sales, delivery, installation, inspection, repair, and contract construction work.

(2) Providing services handled by the Company
The rental service of truck, after-sales service and warranty on all types of sales, and application, implementation, provision, return and exchange, and refund of other various services.

(3) Conducting identity verification in times such as when an app is used

4. Matters concerning provision to third parties

The Company will not provide the personal information of customers to third parties except in the following cases:

When the Company has acquired the customer’s prior consent

When the Company is required by law/regulation to do so

When it is necessary in order to protect a person’s life, body, or property and it is difficult to obtain the customer’s consent

When it is especially necessary in order to improve public health or to promote the sound development of children and it is difficult to obtain the customer’s consent

When it is necessary to cooperate with a national agency, a local government, or an individual or entity entrusted by either a national agency or local government to perform duties as prescribed by laws and regulations, and obtaining the customer’s consent may impede the performance of the duties in question.

When the third party is an academic research institution, etc., and it is necessary for the third party to handle the relevant personal information for academic research purposes (including cases where a part of the purpose of handling such personal information is for academic research purposes, and excluding cases where there is a risk of unjustified infringement of the rights and interests of individuals).

5. Joint use

(1) The Company may use cookies and other personally identifiable information obtained from third parties affiliated with the Company in conjunction with personal information already in the Company’s possession. In such cases, the Company will obtain prior consent from the person concerned and use the information in accordance with this Privacy Policy.

6. Acquisition of cookies

Cookies are information such as browsing history that is temporarily stored on smartphones or computers when web pages are accessed. The Company uses cookies to constantly improve the customer experience on websites and services managed by the Company.

  • To continually improve the Company’s websites and services

(3) About Google Analytics and Google Tag Manager
The Company uses Google Analytics and Google Tag Manager, which are Google’s access analysis tools, to continuously improve websites managed by the Company. These tools use cookies to collect data. This data is collected anonymously and individuals are not identified.

(4) About the Company’s information gathering module
The Company uses an information gathering module provided by Intimate Merger Inc. to analyze the trends of users visiting websites.

In addition, Unerry Inc. integrates the data collected by the above module with the company’s offline behavior data and utilizes it for marketing purposes through statistical processing.

7. Acquisition of location information

(1) Use of location information
If the use of location information is enabled on a user’s device, information about the user’s current location may be collected and processed.
Information about the user’s current location is determined using the location information of the user’s device (GPS information or information on nearby Beacon or Wi-Fi access points or base stations provided by the user’s mobile device sensor data).

(2) Purpose of use

  • To provide information on nearby stores, recommended products, etc.

8. About audio and video recordings

In order to accurately understand and respond to customer requests and demands, etc., the Company may record the content of calls, and may also record image/video data in accordance with laws and regulations or for crime prevention and safety management purposes. Personal information that is recorded via audio and/or video recordings will be deleted as soon as they no longer need to be used.

9. Appropriate management of personal information

The handling of personal information will be appropriately managed under the supervision of a chief administrator.

(1) The Company will appoint a personal information manager and implement necessary and reasonable measures to prevent unauthorized access to, as well as loss or leakage of personal information to outside parties, and strive to protect personal information.

(2) The Company will appoint a personal information auditor and carry out necessary and appropriate supervision of employees to ensure the safe management of personal information.

(3) The Company will establish rules and regulations on the handling of personal information, and will ensure that all employees are familiar with them.

(4) The Company will regularly educate employees on matters to keep in mind regarding the handling of personal information.

(5) In the event of an accident related to personal information, the person who discovers the accident shall immediately report the details to the personal information manager, and emergency measures will be taken as necessary. The Company will also analyze the cause of the accident and take measures to prevent a future recurrence.

10. Outsourcing of operations that involve the handling of personal information

The Company may outsource the handling of personal information to parties that have taken sufficient measures to protect personal information. In such cases, the Company will enter into a contract with such contractors regarding the protection of personal information and supervise them as necessary and appropriate.

11. About Secure Sockets Layer (SSL)

The Company’s website is SSL compatible in order to protect the personal information of customers.
SSL stands for “Secure Sockets Layer,” which is a communication method that allows encrypted data to be transmitted and received between a web server and a web browser. By using a browser that supports security functions, personal information such as the name, address, or phone number entered by a customer is automatically encrypted before being sent or received. For this reason, even in the unlikely event that a third party intercepts the sent or received data, the contents cannot be deciphered, thus avoiding the leakage, etc., of personal information.

12. Disclosure, correction, deletion, suspension of use, suspension of provision to third parties, etc., of personal information

When the Company receives an inquiry from a customer regarding the disclosure, correction, deletion, suspension of use, suspension of provision to a third party, etc. (hereinafter referred to as “disclosure, etc.”) of personal information collected from the customer, the Company will respond within a reasonable period and to a reasonable extent in accordance with the Act and other related laws and regulations.

13. How requests for disclosure, etc., are accepted

With respect to records of personal information and personal data held by the Company and provided by the Company to third parties, and records of information provided to the Company by third parties, requests for the disclosure, etc., of such information/data, and other inquiries regarding personal information will be accepted in the following manner. The Company will conduct the disclosure, etc., of the relevant information after confirming the identity of the person making such a request. However, please note that there may be cases in which the Company is unable to comply with disclosure, etc., based on the Act or other related laws and regulations, such as disclosing information on the existence/absence of such information would be detrimental to public interests or other interests, or if doing so carries a risk of significantly hindering the proper conduct of the Company’s business.

Please fill in the required items on the Company’s designated form, enclose the personal identification documents described in (2) below, and send it by mail to the inquiry desk described in Section 14 below.

The Company will verify identity with proof of the person’s registered address and name, such as via (a copy of) the person’s driver’s license, passport or health insurance card.

(If requested by a proxy)
In addition to the above documents for confirming the identification of both the person making the request and their proxy, a power of attorney from the person making the request to the proxy (signed and sealed with the name and address of the person making the request) will be used by the Company to verify identity.
The Company may confirm an applicant’s identity by telephone or other means. In addition, please note that the Company will not return any documents sent to it.
